Patient data: do not send patient records, prescriptions, scans, or medical images to the public contact email. Use only the current secure clinic workflow supplied for that purpose.

A complete order is also a privacy-controlled order

Before onboarding, verify the clinic identity, practitioner eligibility, service terms, secure account destination, support route and who may authorize changes. Use the minimum patient information needed for the order and keep prescriptions, scans and identifiable records out of ordinary email. Document who can view, correct, export and retain submitted information.

Pre-production review

Check patient/order identity, laterality, capture completeness, clinical goal, target footwear, construction choices and any contradictory instructions. Questions should pause production when the answer affects design or fit. Record the question, agreed answer, authorizer and date so quality control checks the final approved order. Confirm whether physical casts, digital files, photographs or supporting documents need to be returned, retained or securely destroyed.

Delivery and exception handling

On receipt, inspect the device against the prescription before dispensing. Record fit, footwear interaction, education and follow-up according to the provider’s scope and standards. Establish routes for shipping damage, incorrect identity, manufacturing variance, adjustment, refurbishment and a changed clinical presentation. The laboratory can resolve manufacturing questions, but it does not replace patient-specific clinical judgment.
